A simple way to confirm attendance at workshops and Academy events.
The WFA Academy QR Check-In system provides a simple way for members to confirm their attendance at workshops and Academy events.
After successfully booking a workshop, the member receives a unique QR code linked to that specific booking.
The QR code contains or provides access to the information required by the Academy system to identify the booking.
When the member arrives, they open their booking and display the QR code to the coach or authorised Academy staff member. The coach scans the code using the Academy check-in system.
After scanning, the system checks whether the booking is valid. It can confirm that the booking belongs to the correct member and is associated with the correct workshop and date.
If the booking is valid, the coach can record the member as attended.
Once the coach confirms attendance, the member's Academy account is updated. The workshop can then appear as attended or completed depending on whether additional requirements remain.
This removes the need for coaches to rely on handwritten attendance lists.
If a member's QR code cannot be displayed or scanned, the coach can use the booking reference or member details to locate the booking manually.
This provides a backup system so that genuine bookings can still be checked in if a technical problem occurs.
Once attendance has been recorded, the member can continue with the workshop.
After the session, the attendance record can contribute towards the member's Academy history, progress and achievements.
The QR system can eventually be integrated directly into the WFA mobile app, allowing members to access their workshop passes quickly from their phone.
The same technology could potentially support Academy events, assessment days and other activities where attendance needs to be recorded.
